Information you type into our contact form. The form on this site asks for your name, work email address, company, phone number, and a short message describing what you need. Name, email, and the message are required; company and phone are optional and the form works without them.

Standard server logs. Like any website, ours records technical request data — IP address, browser user agent, the page requested, and a timestamp. We use these to keep the site available and to investigate abuse.

A submission counter in your browser. To limit repeated submissions, the contact form stores a small list of timestamps in your browser's session storage. It never leaves your device and is cleared when you close the tab.

This site sets no advertising or analytics cookies, runs no third-party tracking scripts, and does not build a profile of your browsing. Web fonts are served from our own domain, so viewing a page does not call out to a font provider.

We do not sell your information, and we do not share it with advertisers or data brokers.

When you submit the contact form, the details you entered are sent to a Mautic customer relationship management (CRM) instance operated by Spell Solutions LLC on its own Amazon Web Services infrastructure in the United States, and are seen by the Spell Solutions people who handle Vendra enquiries. The website itself is also hosted on Amazon Web Services in the United States.

If you are contacting us from outside the United States, your information will be transferred to and processed in the United States.

The providers below process personal information on our behalf.

• Amazon Web Services — hosting, storage, and email delivery for this website, the CRM, and the Vendra platform.
• Anthropic, PBC — AI subprocessor for the Spella assistant built into the Vendra platform. See the section below.
• Stripe — payment processing for purchases made on stores running on the Vendra platform.

A current list of subprocessors used by the Vendra platform is available on request from info@spell.solutions.

Vendra includes an AI assistant called Spella. When an operator or a shopper uses Spella, the relevant content for that request — for example a product record, an order summary, or a support message — is sent to the Anthropic API, operated by Anthropic, PBC, which generates the response. Anthropic is therefore a subprocessor of that content.

We use Anthropic's commercial API, under which content submitted through the API is not used to train models. Spella is not trained or fine-tuned on your data; it is given the relevant records at the time of each request and nothing is retained by us for model training.

This applies to use of the Vendra platform. The contact form on this marketing website does not send your enquiry to an AI model.

Contact-form enquiries and the correspondence that follows are kept in our CRM for [retention period], after which they are deleted or anonymised. Server logs are kept for [server log retention period]. Records we are required to keep for legal, tax, or accounting reasons are kept for as long as that obligation lasts.

If you ask us to delete your information sooner, we will, unless we are legally required to keep a particular record.

You can ask us at any time to show you the personal information we hold about you, correct it if it is wrong, delete it, or stop contacting you. Email info@spell.solutions and we will action the request. We may ask you to confirm your identity first, so that we do not hand your information to someone else.

Depending on where you live, you may also have specific rights under laws such as the EU or UK GDPR or the California Consumer Privacy Act. We honour access, correction, and erasure requests for the data described in this notice regardless of where you are.

Traffic to this site and to the Vendra platform is encrypted in transit with TLS, and data is encrypted at rest by the storage services we use. Access to the CRM is limited to Spell Solutions staff who need it. No system is perfectly secure, and we do not claim otherwise.

This is a business website. It is not directed to children, and we do not knowingly collect information from anyone under 16. If you believe a child has sent us information, email info@spell.solutions and we will delete it.

We may update this notice as the product and our processes change. The date at the top of the page shows when it was last revised.
